GTIN Entry

This screen is used to create a GTIN number, with associated product information, for each item that you sell. The best practices guidelines for assigning GTIN numbers are available at www.producetraceability.org. There is a PDF file that explains in detail how GTIN numbers need to be assigned.

In most situations you will need to have a different GTIN number for each commodity, variety, case size, pack style, size and grade.

The GTIN number consists of the following items:

  • The first digit is a packaging indicator. This number will start as a constant value of 1, as entered in the Shipper Setup screen. It is possible to use values 2 through 8 as well to expand the number of GTIN numbers you can use.

  • The next digits are the Company Prefix. This number may be anywhere from 6 to 10 digits. The first digit will be a zero (0) if the GS1 Company Prefix was obtained in the United States. The GS1 Company Prefix should never be passed out, as the GTIN is only unique when viewed in its entirety.

  • The next digits are the Item Reference Number. The number of digits that represent this number will vary from 2 digits to 6 digits, depending on the length of the Company Prefix. If your Company Prefix is 10 digits, your Item Reference Numbers will be 2 digits, and you have room for 99 items.

    If your Company Prefix is 6 digits, your Item Reference Numbers will be 6 digits, and you will have room for 999,999 items.

    As you can see, it is important to know how many GTIN numbers you will have before you purchase your Company Prefix.

  • The last digit is a checksum digit. Our software will automatically calculate and add the checksum digit for you.

Since you will need to create a GTIN number for each item/pack/size you sell, a hot key (CTRL + A) can be used. Using this hot key will automatically fill in information from each product code, allow you to enter the additional data required, save, and then move to the next item automatically.

Go to Case Labeling > GTIN Entry.

GTIN

For new GTIN numbers, skip this entry. The program will automatically construct the GTIN number for you.

CTRL + A hot key: if you want to sequentially create GTIN’s from the product code file, press CTRL + A, find the product you want to start with, and click Ok. The program will fill in the GTIN, Effective Date, Reference #, and Product Description. The cursor will then move to the Commodity entry.

You will then complete the various entry items needed for the case labeling file, and save. To go to the next item in your product code file, press CTRL + A after the save and screen clear.

Effective Date

Enter the effective date for this GTIN number. This entry will default to today’s date.

Grower # (Brand Owner)

If this GTIN is for product with a different brand owner and GTIN, enter the Grower # here. Otherwise, leave this entry blank.

Packaging Indicator

This is a one-digit number that appears at the beginning of your GTIN number. This number will start as a constant value of 1, as entered in the Shipper Setup. It is possible to use values 2 through 8 as well to expand the number of GTIN numbers you can use.

Item Reference #

Enter the reference number you are assigning to this item.

Product Description

Enter a description of the product. This is usually how it would appear on an invoice or bill of lading, with the product/pack style/size information. This will print on the label.

Note  When shipping to Canada, the French description of the product must be included. You are responsible for obtaining the French description that should be used for the product. See Case Labeling Dual Language for more information about this format.

Commodity

Enter the commodity. A typical entry would be “Tomato”, “Peach”, etc. This does not print on the label.

Variety

Enter the variety, if any. This does not print on the label.

Item Count Per Case

Enter the number of items per case. This does not print on the label.

Label Cnt / Size

You can type in the label count and size. This entry will override the Item Cnt Per Case entry and will print on the GTIN label.

Case Type

Select the type of case from the drop-down list (Carton, Crate, Bag, Bin, etc).

Label Case Type

You can type in the case type. This entry will override the Case Type entry and will print on the GTIN label.

Pack Style

Select the Pack Style from the drop-down list.

Pack Size

Enter the quantity of items in the shipping case.

If the items are loose packed, with no fixed number, the Pack Size can be the net weight.

Pack Size Unit of Measure

Select the Unit of Measure for the Pack Size (Count, Size, Bunch, Pound).

Size Group

Enter the size of the individual consumer items in this case.

Country of Origin

Enter the country of origin (the country where the produce was grown). Use the lookup to select the appropriate ISO 3166-2 code, which is required for this entry. If you need to add countries to the list, make sure to use these standard codes.

Grade

Select the grade, if used, from the drop-down list. Grades are added and edited via See Topic: .

Label

Enter the Brand Name as it appears on the packaging or labeling.

Growing Method

Select the Growing Method from the drop-down list. This is the list supplied by the PMA.

Case Label Example

Below is an example showing how entries within the GTIN Entry window correspond to what is printed on the actual case label.

  1. Product Description

  2. Label Count / Size

  3. Label Case Type

  4. Country of Origin

  5. Grade

Shipper’s Office Product Code

Depending on your setup, the entries in this group will include: Product Code, Pack Style, Size, Grade, Variety and Label. These items are entered as a cross-reference to The Shipper’s Office Product Code list. When you need to print labels, the program will use this information to retrieve the correct GTIN Number.

Packaging Specifications

The packaging specifications are a part of the GTIN information that will be distributed to your customers. Each of the various package configurations should be set up in the Case Specification screen. Use the Case ID lookup to find the correct configuration, then import into this screen when prompted to do so.

You can also override the entries if weights are different or you can simply enter the specs manually.

To save the entry, click Save or press [Enter] if it is highlighted.

If you are using the CTRL + A hot key to add products from the product code file, do so after the save is completed to find the next product code. The next active product will appear in the popup dialog.

Export Button

The export button will create a CSV (comma separated value) formatted file. When you click on this button, a screen will appear to complete the export. You will need to select the path and file name for the export file.

Print Button

The Print button will print a list of all GTIN numbers.

Label Preview

This button will open a print preview of the label you are creating.

Batch Create GTIN Records

This option can be used to create GTIN records, each with a unique GTIN #, from the product code/pack style/size information that has been entered in the product code screen.

You must review each product code, and the pack styles/sizes for that product, before creating the GTIN records. The program automatically selects all possible combinations and displays a list. Inactive pack styles or sizes are ignored and will not appear in the list.

In order to create the record, certain assumptions must be made by the program. The product code information is mapped as follows:

When you click Batch Create from the GTIN Entry Screen. A message will appear, then the following window:

In the window above, the user selected a product code. The pack style and size combinations are listed on the grid and are highlighted in blue. Click Create when all entries are highlighted to create GTIN records for all entries in the grid.

Warning  There is no option to undo this transaction. If you make a mistake, you will need to manually delete or edit the records created.

You can deselect any item by clicking on that line. If you would like to deselect all of the lines, click DeSelect All in the bottom left corner. Click on an individual line to select it.

Before clicking Create, make sure you have made the correct selections on the right side of the window. In the example above, the Description is Artichoke Green. If you want to include the growing method ‘Organic’ on the Case Label, select the checkbox  “Prefix Descr with Grow Method”.

When you click Create, the GTIN records will be created. Once they have all been created, the program will show the number of new GTIN records.

Note  The program will assign the item # based on the counter in the Program Setup. There needs to be an uninterrupted sequence of numbers for the program to work correctly. If you need to switch the packaging indicator to get more item #’s, this must be done manually. The program will not automatically switch when you run out of numbers.

The program will check to make sure an entry does not exist for the product code/pack style/size combination being created. If there is a record found, that item will be skipped so there are no duplicates.

At this time, the Batch Create option does not create unique entries by label, variety, or country of origin. Those must be done with manual entries.
